Terms & Conditions and Official Club Policies
Effective Date: 15 September 2026
Welcome to the Nagaland Running Club (NRC). These Terms & Conditions and Official Club Policies (“Terms” or “Policies”) govern membership in, and participation in, activities, events, programs, and initiatives organized or endorsed by NRC.
By submitting a membership application, becoming a member, participating in an NRC activity or event, or otherwise representing NRC, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Policies.
NRC reserves the right to amend these Terms and Policies from time to time. Members are responsible for familiarizing themselves with the current version published on the official NRC website.
1. Membership & Eligibility
1.1 Eligibility
Membership of Nagaland Running Club is open to individuals who are currently residing in Nagaland. Membership shall be available without discrimination on the basis of race, ethnicity, religion, gender, or fitness level.
Applicants must provide accurate and complete information during registration, including their current place of residence.
1.2 Age Requirements
Membership is primarily open to individuals aged 18 years and above.
Individuals aged 12–17 years may participate in designated NRC activities only with the knowledge, consent, and supervision of a parent or legal guardian, as may be required by the Club.
NRC reserves the right to impose additional safety requirements for minors participating in any activity.
1.3 Identification and Registration
Applicants may be required to provide valid identification and other information reasonably necessary for membership registration and verification.
Applicants and members are responsible for ensuring that all information submitted to NRC is true, accurate, complete, and up to date.
Submission of false, misleading, or fraudulent information may result in rejection of an application or suspension or termination of membership.
1.4 Fitness Levels
NRC welcomes individuals of varying fitness and running abilities, including beginners, recreational runners, competitive runners, marathoners, and trail runners.
Membership does not require a particular level of athletic performance.
1.5 Health and Fitness Responsibility
Members are responsible for determining whether they are physically capable of participating safely in running, training, and other NRC activities.
Members are strongly encouraged to seek appropriate advice from a qualified medical professional before undertaking strenuous physical activity, particularly if they have any existing medical condition, injury, or concern regarding their ability to participate.
NRC does not provide medical advice and membership does not constitute confirmation or certification of a member’s physical fitness.
1.6 Probationary Membership
All newly admitted members shall be subject to a six-month probationary period commencing from the date of admission.
During the probationary period, members are expected to:

Participate reasonably in NRC activities;

Demonstrate commitment to the Club and its objectives;
-
Conduct themselves respectfully and responsibly;
-
Comply with these Terms and Policies; and
-
Support the Club’s activities and community initiatives where reasonably possible.
Completion of the probationary period does not automatically guarantee continued membership where a member has failed to comply with NRC policies or membership requirements.
1.7 Inactive Membership
Members are expected to maintain reasonable and meaningful participation in NRC activities.
Where a member remains continuously inactive for a period of three (3) months without prior notification, reasonable explanation, or an approved exemption, NRC may review the member’s status and may remove the member from the active membership register.
The Club may consider legitimate circumstances, including injury, illness, employment, education, family responsibilities, travel, or other reasonable circumstances.
Removal from active membership shall be determined by NRC in accordance with its internal procedures.
1.8 Resignation from Membership
A member who wishes to voluntarily discontinue their membership shall submit a written resignation to the NRC office or designated Club authority in advance.
The resignation should clearly state the member’s intention to leave the Club and should provide reasonable notice to allow NRC to update its membership records and administrative information.
Resignation does not relieve a member of any outstanding financial, administrative, or other obligations incurred prior to the effective date of resignation.
1.9 Acceptance and Refusal of Membership
NRC reserves the right to accept, defer, or decline any membership application where it considers such action necessary to protect the interests, reputation, safety, or objectives of the Club.
2. Active Participation & Club Activities
2.1 NRC Activities
NRC may organize, coordinate, support, or participate in activities including:

Group runs and long runs;
-
Fun runs and community runs;
-
Track and structured training sessions;
-
Road races, trail races, marathons, and ultra-marathons;
-
Community service initiatives;
-
Environmental and public-space activities;
-
Health and fitness awareness programs;
-
Running workshops and educational activities; and
-
Other activities approved or endorsed by NRC.
2.2 Participation Expectations
Members are expected to make reasonable efforts to participate in Club activities and contribute positively to the NRC community.
As a general guideline for maintaining active membership, members should aim to complete at least 5 km per week or 20 km per month, unless circumstances prevent such participation.
These activity expectations may be adjusted or waived where appropriate.
2.3 Group Participation
Members should make reasonable efforts to participate in at least one official NRC group run, training session, or community meeting each month.
Members who are unable to participate due to valid circumstances should, where reasonably possible, inform the Club or relevant organizers.
2.4 Digital Participation
Members are encouraged to participate in NRC’s official digital platforms, including designated running applications, social-media groups, or other communication channels used by the Club.
Digital participation may include recording activities, encouraging fellow members, sharing relevant information, and participating in Club challenges.
2.5 Volunteering and Community Contribution
NRC is a community-oriented running club. Members are encouraged to contribute their time and skills to Club events, races, community initiatives, and volunteer activities.
Where reasonably possible, members should volunteer at least once annually in a Club-hosted activity, event, water station, community initiative, or local race supported by NRC.
2.6 Competitive Events
Participation in competitive races is voluntary.
NRC may provide information, training guidance, logistical support, or other assistance where available. However, NRC does not guarantee race results, podium finishes, sponsorships, financial support, or selection for any particular event.
3. Health, Safety & Risk Management
3.1 Voluntary Participation
Participation in all NRC activities is voluntary.
Members acknowledge that running, cycling, trail activities, road activities, group exercise, and other physical activities involve inherent risks, including but not limited to falls, collisions, traffic incidents, adverse weather, terrain-related injuries, physical exhaustion, and other unforeseen circumstances.
3.2 Assumption of Risk
By participating in an NRC activity, members voluntarily assume responsibility for the ordinary and inherent risks associated with that activity.
Members are expected to exercise appropriate judgment and refrain from participating when they believe that doing so would place themselves or others at unreasonable risk.
3.3 Traffic and Road Safety
Members participating in road runs must comply with applicable traffic laws and safety requirements.
Members should remain alert to vehicles, pedestrians, cyclists, road conditions, and other hazards and should follow instructions provided by NRC organizers.
3.4 Required Safety Equipment
Appropriate visibility equipment shall be used during early-morning, evening, or night activities where visibility is limited.
Reflective clothing, reflective accessories, headlamps, or other appropriate lighting may be mandatory for activities designated by NRC organizers as requiring additional visibility.
3.5 Emergency Information
Members participating in official NRC activities should carry appropriate identification and emergency contact information.
Members should promptly inform organizers of any relevant injury, medical concern, or condition that may affect their ability to safely participate.
3.6 Organizer Instructions
Members must comply with reasonable safety instructions issued by NRC organizers, volunteers, marshals, or designated officials during Club activities.
Failure to follow safety instructions may result in removal from an activity and may constitute grounds for disciplinary action.
4. Code of Conduct
4.1 General Conduct
Members shall conduct themselves in a manner that reflects positively on NRC and promotes:

Respect;

Discipline;

Unity;
-
Integrity;
-
Sportsmanship;
-
Inclusivity; and
-
Responsible participation.
Members must not engage in conduct that may bring the Club into disrepute or negatively affect other members, event organizers, partners, sponsors, or the public.
4.2 Harassment and Discrimination
NRC maintains a zero-tolerance approach to harassment, bullying, intimidation, discrimination, stalking, unwanted sexual advances, sexual harassment, verbal abuse, derogatory remarks, or other inappropriate conduct.
No member shall engage in conduct that demeans, threatens, intimidates, humiliates, or discriminates against another person.
4.3 Personal Boundaries
Members must respect the personal space and physical boundaries of others.
Unwanted or non-consensual physical contact, including grabbing, touching, or intentionally invading another person’s personal space, is prohibited.
Accidental physical contact occurring during running or other activities should be immediately acknowledged and discontinued where the other person expresses discomfort.
4.4 Responsible Use of Social Media
Members representing NRC online or using NRC-related digital platforms are expected to communicate respectfully and responsibly.
Members must not use NRC’s name, logo, identity, or official communication channels to publish offensive, defamatory, misleading, threatening, or unauthorized content.
4.5 Environmental Responsibility
NRC supports responsible use and protection of roads, trails, tracks, stadiums, parks, and other public or community spaces.
Members shall follow a “Leave No Trace” principle and must not litter, damage property, or intentionally disturb the environment during NRC activities.
5. Complaints, Disciplinary Action & Termination
5.1 Complaints
Members may report concerns, misconduct, harassment, safety violations, or breaches of these Terms to the NRC office or designated Club authority.
Complaints should, where possible, provide sufficient information to enable the Club to understand and assess the matter.
5.2 Review of Complaints
NRC may review complaints or reported violations and may request information or statements from the individuals concerned.
The Club may take reasonable steps to protect the safety and well-being of members while a matter is being reviewed.
5.3 Disciplinary Measures
Depending on the nature and seriousness of a violation, NRC may take one or more of the following actions:

Verbal or written warning;
-
Formal notice of violation;
-
Temporary suspension of membership;
-
Restriction from participating in particular activities;
-
Removal from an event or activity;
-
Removal from active membership; or
-
Termination of membership.
Serious misconduct may result in immediate suspension or termination where the Club considers such action necessary.
5.4 Termination of Membership
Membership may be terminated where a member:
-
Seriously or repeatedly violates these Terms and Policies;
-
Engages in harassment, violence, threats, or discriminatory conduct;
-
Provides false or fraudulent information;
-
Seriously compromises the safety or reputation of NRC;
-
Misuses NRC property, identity, name, or resources; or
-
Remains inactive for an extended period in accordance with Section 1.7.
Where appropriate, NRC may provide the member with an opportunity to respond before a final decision is made.
5.5 Effect of Termination
Upon termination, the individual shall cease representing themselves as an NRC member and shall no longer use NRC’s official name, logo, membership status, or other Club identity without authorization.
6. Membership Fees & Financial Matters
6.1 Membership and Event Fees
Where applicable, membership fees, registration fees, event fees, or other approved charges shall be communicated to members before payment.
Fees must be paid within the period specified by NRC.
6.2 Refunds
Unless otherwise specifically stated by NRC, membership and event fees that have already been paid are non-refundable.
Any exception shall be determined by NRC based on the circumstances and applicable event or Club policy.
6.3 Club Funds
Club funds shall be used for legitimate NRC activities, administration, events, community initiatives, equipment, logistics, and other purposes approved by the Club.
7. Media, Photography & Publicity
7.1 Photography and Video
NRC activities may be photographed, filmed, or otherwise recorded for legitimate Club purposes.
Such material may be used for:

NRC’s official website;
-
Social-media platforms;
-
Newsletters and publications;
-
Event reports;
-
Promotional materials;
-
Community awareness; and
-
Other legitimate Club communications.
7.2 Member Requests
Members who have a reasonable concern regarding the use of a particular photograph or video may contact NRC and request its review or removal.
NRC will consider such requests reasonably, subject to practical, legal, and legitimate Club requirements.
7.3 Use of NRC Identity
Members may not use the NRC name, logo, branding, official social-media accounts, or other Club identity for commercial, political, fundraising, or other purposes without prior authorization from the Club.
8. Website & Digital Communications
8.1 Website Use
Users of the NRC website must use the website lawfully and responsibly.
Users must not:
-
Submit false or misleading information;
-
Attempt to gain unauthorized access to restricted areas;
-
Interfere with website functionality or security;
-
Copy or distribute protected content without permission; or
-
Use NRC’s website or digital platforms for unlawful or inappropriate purposes.
8.2 Accuracy of Information
Members and users are responsible for ensuring that information submitted through NRC’s website, membership forms, registration forms, or other digital platforms is accurate and current.
8.3 Third-Party Platforms
NRC may use third-party platforms and services, including running applications, registration systems, communication platforms, payment services, and social-media platforms.
Use of such platforms may be subject to the respective third party’s terms and privacy policies.
9. Privacy & Personal Information
NRC may collect and use personal information provided by members for legitimate Club purposes, including:

Membership administration;
-
Event registration and coordination;
-
Emergency communication;
-
Club communication;
-
Record keeping;
-
Participation management; and
-
Other legitimate administrative purposes.
NRC will take reasonable steps to protect member information and will not knowingly disclose personal information to unauthorized parties except where required for legitimate Club operations, with consent, or as required by applicable law.
Members should not submit personal information belonging to another individual without appropriate authorization.
10. Limitation of Responsibility
NRC is a community running organization and does not guarantee that every activity will be conducted without interruption, delay, cancellation, or unforeseen circumstances.
Events may be modified, postponed, relocated, or cancelled due to weather, safety concerns, government restrictions, venue availability, emergencies, or other circumstances beyond the reasonable control of NRC.
NRC will make reasonable efforts to communicate significant changes to members and participants.
Nothing in these Terms is intended to exclude or limit any responsibility or liability that cannot lawfully be excluded or limited under applicable law.
11. Amendments & Interpretation
11.1 Amendments
NRC reserves the right to amend, revise, add to, or remove provisions of these Terms and Policies when considered necessary for the effective administration, safety, development, or operation of the Club.
The latest version published through NRC’s official communication channels shall be considered the current version.
11.2 Continued Membership
Continued membership or participation in NRC activities following the publication of amendments constitutes acknowledgement and acceptance of the updated Terms and Policies, to the extent permitted by applicable law.
11.3 Interpretation
Where any provision of these Terms is unclear or does not specifically address a particular situation, NRC may interpret and apply the provision in a manner consistent with the objectives, values, safety requirements, and best interests of the Club.
12. Acknowledgement & Acceptance
By applying for membership, becoming a member, registering for an NRC activity, or participating in an NRC-organized or NRC-endorsed event, the individual acknowledges that they:

Have read and understood these Terms & Conditions and Official Club Policies;

Agree to comply with the rules, policies, and reasonable instructions of NRC;
-
Accept responsibility for their own participation and conduct;
-
Understand that running and physical activities involve inherent risks; and
-
Agree to conduct themselves in a manner consistent with the values and objectives of Nagaland Running Club.
Nagaland Running Club (NRC) reserves the right to take appropriate action where these Terms and Policies are violated.
